FAQ

Questions, answered.

What firms ask about Capiro, the AI back office for lobbyists: what it is, how it fits your day, how you stay in control, setup and pricing.

THE BASICS

The basics

What is an AI back office?

Every firm already has a back office. It is email, Word, spreadsheets, a CRM, a tracker, and the memory of whoever has been there longest. The real cost is not the software. It is the hours your people spend finding, copying, reconciling and re-entering what the firm already knows.

An AI back office takes that work on. Client context stays current, what changed finds the client it affects, and the first draft is waiting before you ask. Your people keep the relationships and the judgment.

What is Meri?

Meri is the AI Chief of Staff inside your firm's back office, and it is the part of Capiro you will talk to every day.

You hired smart people to build relationships and move client priorities. Instead they spend the day finding the last meeting, rebuilding the briefing, chasing what changed and re-entering what the firm already knows. Meri takes that load. It works from every meeting, email and commitment your firm has captured, so the work is prepared before you ask.

Who is Capiro for?

Capiro is built for anyone who does government affairs work, whether you sit inside a lobbying firm or inside an organization. If your week is meetings, research, drafting and follow-up, and the context lives in people's heads and inboxes, this is for you.

A lobbying firm carries a book of clients. An in-house team or a defense contractor carries its company's priorities, programs and funding lines across agencies and offices. An advisory firm carries its engagements. An association carries its members. The shape of the work differs, but the problem is the same: your most skilled people spending their time on the work around the relationship instead of on the relationship.

How does Capiro work?

Capiro keeps one living memory for every client: who they are, what they want from government, who you know, and everything your firm has done. Meri works from that memory, so research, briefs and drafts start from real context instead of a blank page.

Every cycle makes the next one better. What happened gets captured, and the next move starts ahead. You approve every step that matters.

What can Meri do for my firm?

Meri is your AI Chief of Staff inside the back office. It works from everything Capiro knows about your clients, so you can ask in plain language and get prepared work back, not a list of links.

A meeting brief that includes past meetings and open asks. A summary of what changed for a client this week. A first draft of the memo. A follow-up after the call. You review, edit and approve.

What is institutional memory?

Institutional memory is everything your firm has learned: who you know, what you decided, what you promised, what worked and what did not. In most firms it lives in people's heads, inboxes and old files, so it walks out the door when someone leaves and gets rebuilt from scratch before every new meeting.

Capiro turns it into a living record the whole firm shares: meetings, strategies, commitments, decisions, outcomes, documents and relationships, connected so you can see not just what happened but why it mattered. It compounds, so every cycle starts ahead. And you control what becomes part of it: Meri proposes, and you approve, edit or decline.

IN YOUR DAY

In your day

How does it help me prepare for meetings?

Preparation is where the hours disappear: finding the last meeting, rereading emails, checking who has history with the office, looking up what the member said recently. Capiro assembles that into one brief tied to your client's objective, before you ask.

For a Hill day, the schedule, offices, attendees, relationship history and correspondence come together in one package. Gaps like a missing attendee or stale correspondence are flagged before you walk in.

How do I stay on top of what is changing for my clients?

Information is not scarce. Attention is. Capiro watches the hearings, bills, budget lines, agency notices and news your clients care about, and reads each change against the client it affects.

Instead of a feed to sift through, you get what changed, which client it touches, why it matters and who should act. It does not just tell you about the hearing. It tells you what the hearing means for the client.

Can it help with outreach and follow-up?

Follow-up is where good meetings go to die. Notes sit in a notebook, commitments live in someone's head, and the thank-you email waits for Friday.

Capiro connects the whole loop. Outreach starts from the objective and is individualized, not one generic blast. After the meeting, notes become commitments and follow-up tasks, and the next email is drafted and waiting for you. Everything stays attached to the client and the relationship.

Does it help with client reporting?

Clients see the meeting, the memo and the outcome. They rarely see the monitoring, preparation, research and follow-up underneath, and that invisible work is exactly what justifies the retainer.

Capiro turns the work your team already does into a client-ready report: what we did, what changed, where we moved and what comes next. It is built from your calendar, notes, documents and activity, specific to each client, and ready for your review.

Does it draft the actual work?

Yes. Capiro drafts the work product, not just a summary: memos, submissions, talking points, follow-up emails and client reports. Each starts from the client's context, the source material you attach and your firm's templates, so the first draft is a real starting point instead of a blank page.

The draft and its reasoning sit side by side, with evidence and citations you can inspect, so your review goes to substance instead of figuring out how it was made.

Can it help me plan strategy and hit deadlines?

A strategy that lives in a slide deck goes stale the week after you write it. Capiro turns strategy into a living plan connected to the real government calendar, the active work and review gates, so the team can see what is moving, what is blocked and what comes next.

Agents can propose changes as conditions shift, such as a new markup or a funding signal. A person approves, revises or rejects. Agents propose, your team decides.

Can I see across my whole book of clients?

If you run the firm, you know the feeling of asking five people for the status of twenty clients. Capiro shows the whole book in one view: accounts rising by attention, who owns each, what work is active and what changed since yesterday.

Open any client and the same picture goes deeper: profile, federal footprint, advocacy history, relationships and active work in one record. Meri can answer at the client level or across the whole portfolio, such as what moved this week and where attention should go first.

Can it help me find the right people to talk to?

Getting to the right office is half the job. Capiro maps the people around each objective: the member, the committee and its staff, personal staff, agencies and your client's district footprint, along with where your firm already has history.

You can filter staff by office, role and issue, see committee structure from the source, and check prior engagement before you ask for the meeting, so the outreach starts warm.

Can it help me find new clients?

Business development has the same bottleneck: research. Capiro can assemble a prospect's federal footprint, contracts, grants and public records into one view, with the sources visible, so you walk into the first conversation knowing what they do and where government touches their business.

From there it can draft the pitch or engagement plan for your review, written for an audience that may be new to Washington.

TRUST AND CONTROL

Trust and control

Will Meri send anything without me?

No. Nothing external leaves without a person approving it. When Meri drafts an email or an outreach request, it is held at an approval step where you see the recipient, the exact message and the evidence behind it.

You can edit it, send it back or decline it. Your approvals are recorded, so there is always a clear record of what went out and who signed off.

Will it replace my team?

No, and that is not the goal. Capiro exists to give your team capacity: more time with clients and the people who matter, and less time absorbed by the mechanics.

The highest value work in government affairs is human. Relationships, judgment, strategy, persuasion and trust stay with your people. Capiro monitors, researches, assembles, remembers, drafts and tracks.

Can I see where an answer came from?

Yes. In government affairs, an answer you cannot verify is not worth much. Meri shows the sources behind each finding, separates evidence from inference, and when it cannot tie a claim to a source, it says so.

It also checks the premise of your question. If a question assumes something the sources do not support, Meri flags it instead of agreeing. Research steps stay visible while the work runs, so you can trust the path as well as the result.

Is my client data private?

Your firm's data stays your firm's data. Meri works only from information you have authorized, and nothing leaves without your approval.

You also control what Meri remembers. It proposes what should become lasting context, and you approve, edit or decline it, and choose whether it belongs to the firm or to you.

Where is my data stored?

In encrypted databases on AWS in the United States. We are glad to walk you through the details in a demo, including how access works for your team.

Will everyone at the firm see every client?

Clients are shared across your firm, so everyone works from the same picture and nobody has to ask a colleague for context.

Your own meetings and notes stay private until you decide to share them.

FIT AND SETUP

Fit and setup

Do I have to replace my CRM or other tools?

No. Capiro does not ask you to rip anything out. Keep your CRM and Capiro does the work that follows each contact. Or, once the relationship context lives in Capiro, retire the tools that only existed to copy information between other tools.

The point is not another system to maintain. It is fewer places where your team has to find, copy and re-enter the same information. Keep the specialist tools you love, and consolidate the ones you do not.

Does it work with Outlook and Gmail?

Yes, both. Your email and calendar flow into each client's record, so meeting prep, history and follow-up are built from the work you are already doing. You keep working in your inbox and calendar, with nothing new to switch to.

That is also why it starts to feel useful quickly: the context already sitting in your inbox and calendar becomes the starting point.

Does it connect to the tools we already use?

Yes. You do not have to start over. Capiro connects directly to Gmail and Google Calendar and to Outlook and Microsoft 365, and Meri joins your Zoom, Google Meet and Teams meetings to take notes. From there it can connect to the other tools your team already lives in, such as your CRM, your task and project boards, and your files.

The point is that your existing tools stop being islands. The context in them flows into the client record, so nobody has to copy it by hand. If you use something that is not on the list, tell us in the demo and we will tell you straight what is possible.

How do I bring my clients in?

You choose. Import a CSV and map the columns once, pull from your lobbying disclosure filings and select the clients you represent, or let our team do the import with you.

Either way you see a preview before anything is saved, so nothing lands in Capiro until you approve it.

What happens when someone joins or leaves the firm?

This is where firms lose the most. When someone leaves, their context walks out with them. When someone joins, they spend weeks asking everyone what they know.

In Capiro the knowledge belongs to the firm. A new teammate opens a client and sees the history, commitments, relationships and prior work. An account handoff keeps its context intact, and nothing resets to zero.

How do I get started?

A quick conversation first, then a demo built around your clients. There is nothing to prepare, and you will see Capiro against your own book, not a generic example.

If it is a fit, we set you up on a 12-month agreement with a 10 client profile minimum, and you can cancel in the first 30 days if it is not right.

PRICING

Pricing

What does it cost?

Capiro is priced by the size of your client book, not by seats. Your whole team can be in it, from partners to the newest hire, with unlimited seats, so you never ration logins or leave anyone out of the picture.

You start with a 10-profile minimum on a 12-month agreement, and each additional profile costs less than the one before, in tiers like tax brackets. The bigger your book, the lower your average price per client. There is no separate AI usage fee. If it is not the right fit, you can cancel in the first 30 days and you are not held to the rest of the year.

Is there a free trial?

We do not offer a free trial, and that is deliberate. Capiro works from your own clients, so we set it up with you and start with your real book, not demo data. The first month is paid and is not refunded, and you have the first 30 days to cancel if it is not right, without being held to the rest of the year.

That way you judge Capiro on your own clients and your own work, not on a sandbox.

Why is pricing based on clients, not seats?

Because your revenue comes from clients, not logins. Seat pricing quietly punishes collaboration: firms ration access, share accounts and leave people out, and the firm's knowledge ends up fragmented again.

With Capiro, the more your team uses it, the richer your firm's context gets. Pricing follows the capacity you are growing, which is your book, so cost scales with your business and not with who has a login.

How do I know it is worth it?

Start by counting the hours your team spends finding, copying, reconciling and re-entering information across tools, rebuilding briefs and chasing status. That is skilled, often billable time going to the mechanics around the work.

Capiro takes on that recurring load, so the same team has room for more clients and for the relationships that win and keep them. Where tools overlap, you can consolidate them. In the demo we will map this against your own book.

Can Capiro replace the tools we pay for today?

Most firms pay for the same handful of things in separate pieces: a CRM, an AI notetaker, a bill tracker, a directory subscription, a tool for sending outreach to offices, a folder of templates and a task manager. Each makes sense on its own. Together they are several renewals, several logins and a team that spends its time moving information between them.

Capiro brings that work into one place. If you move your full operation onto it, you can retire the tools that only existed to do part of what Capiro already does, and keep the specialist ones you still love. Pricing is by the size of your client book with unlimited seats, so you are not paying per login on top.

In the demo we will map this against your own stack, line by line, so you can see what you would keep, what you would retire and what you would save.
