Privacy Policy
Effective October 25, 2026
1. Who we are and what this covers
Capiro (“Capiro,” “we,” “us”) builds an AI back office for lobbyists and government affairs teams. This Privacy Policy explains how we handle personal information on capiro.ai, in The Cycle (our newsletter and blog), when you request a demo, when you apply for a job, and when you use the Capiro platform at os.capiro.ai.
When a firm uses the Capiro platform, the firm decides what client and contact information goes into it. For that information we act on the firm’s behalf, and our agreement with the firm governs how we handle it. If your information is in a firm’s Capiro account and you have a question about it, please contact that firm first.
2. Information we collect
Information you give us.
- Demo requests and scheduling: name, work email, firm or organization, role, practice type, client range, and the meeting time you choose.
- The Cycle: your email address when you subscribe.
- Job applications: name, email, LinkedIn URL, resume, and the written answers you provide.
- Messages to us: anything you send to our team or to the Meri assistant on the site, such as a question or feedback. We save the questions asked in the Meri chat on our website, and Meri’s answers, to see what visitors want to know and to improve the site. Please do not enter personal or confidential information in the chat.
- Organization lookups: when you ask Meri about your organization, we save the name you type and the organization you confirm. Meri looks it up in public Lobbying Disclosure Act filings and an AI model provider writes the summary from those filings. If you ask us to email you the summary, we use your email address to send it, add you and your organization to our customer relationship management system, and may follow up with you about Capiro. If you also tick the box for The Cycle, we subscribe you to it.
Information collected automatically. When you visit our site we may collect your IP address, browser and device type, pages viewed, referring page, and the date and time of your visit, using cookies and similar technologies.
Information in the platform. Customers and their authorized users provide account details (name, work email, role) and content such as client profiles, strategies, meeting notes, documents and, where connected, email and calendar data. This is customer content, covered in section 4.
Information from other sources. We may receive business contact information from public sources or from your firm, and our platform uses public government information about legislation, funding and public officials.
3. How we use information
- Respond to demo requests, schedule meetings and communicate with you.
- Prepare and email the organization summaries you ask Meri for, and follow up about them.
- Provide, secure, support and improve the site and the platform.
- Send The Cycle and other messages you ask for. You can unsubscribe at any time.
- Review job applications and communicate with applicants.
- Understand how the site is used and make it better.
- Protect against fraud, abuse and security threats, and comply with legal obligations.
4. Customer content and AI features
The platform includes an AI assistant, Meri, which drafts briefs, memos and other work products from the information a firm has in its account. To do this we send relevant customer content to AI model providers that act as our service providers.
Customer content belongs to the customer. We use it to provide the service to that customer, to keep the service secure and working, and as our agreement with the customer allows. We do not sell customer content.
AI output can be incomplete or wrong. The platform is designed so that people review work before it goes anywhere, and customers are responsible for that review.
5. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information with:
- Service providers that help us run the business, such as providers of hosting, customer relationship management, scheduling, email delivery, newsletter publishing, analytics and AI models. They may use the information only to provide services to us.
- Professional advisers such as lawyers, accountants and insurers.
- Authorities or other parties when we believe disclosure is required by law or needed to protect rights, safety or security.
- A buyer or successor if Capiro is involved in a merger, financing, acquisition or sale of assets, subject to this policy.
- Others with your consent or at your direction.
6. Cookies and similar technologies
We use cookies and similar technologies to keep the site working, remember preferences, and understand how visitors use it. Most browsers let you block or delete cookies; some parts of the site may not work as well if you do. Where the law requires your consent for non-essential cookies, we will ask for it. We honor browser opt-out signals such as Global Privacy Control where required.
We use Google Analytics to understand how visitors use our website, such as which pages are viewed and how visitors found us. Google Analytics uses cookies and does not receive your name or email address from us. You can decline analytics cookies through our cookie banner, and we honor Global Privacy Control signals. Learn how Google uses this information at policies.google.com/technologies/partner-sites.
7. How long we keep information
We keep personal information only as long as needed for the purposes described here, including to meet legal, accounting and security needs. Demo and lead records are kept while we have an active relationship or business interest and then removed or anonymized. Job applications are kept for a reasonable period after a role is filled so we can consider you for other roles, unless you ask us to delete them. Questions and answers from the Meri chat on our website are deleted automatically after 90 days. Organization lookups are deleted after 90 days and the summaries Meri writes after 30 days. If you asked for a summary by email, we keep a record of that request, with your email address, for one year, and your contact record as described for demo and lead records above. Customer content is kept for the term of the customer’s agreement and handled at the end of it as that agreement provides.
8. Security
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information we hold. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security. If you believe your account or information has been compromised, tell us right away at legal@capiro.ai.
9. Your choices and rights
Depending on where you live, including in Virginia, California and other states with privacy laws, you may have the right to know what personal information we hold about you, to access, correct or delete it, to receive a copy, and to opt out of the sale or sharing of personal information or of targeted advertising (which we do not do). You will not be treated differently for using these rights.
To make a request, email legal@capiro.ai. We may need to verify your identity, and we will respond within the time the law requires. If we decline a request, you may appeal by replying to our response, and you may also contact your state attorney general. To stop marketing email, use the unsubscribe link in any message.
If your information is in a customer’s account, we may refer your request to that customer.
10. Job applicants
If you apply for a role, we use your information to evaluate your application and communicate with you. Applications are sent to our careers inbox and handled by a small number of people. Capiro is an equal-opportunity employer. Please do not include sensitive information, such as government identification numbers, in your application.
11. Children
Our site and services are for businesses and professionals and are not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
12. Where information is processed
Capiro is based in the United States and we process information in the United States. If you visit from elsewhere, you understand your information will be handled here, where privacy laws may differ from those in your country.
13. Changes to this policy
We may update this policy from time to time. We will post the new version here with a new effective date, and for material changes we will take additional steps where the law requires, such as notifying you by email.
Terms of Service
Effective October 22, 2026
1. Acceptance and scope
These Terms of Service (“Terms”) govern your use of capiro.ai, The Cycle, and the Capiro platform and related services (together, the “Services”), provided by Capiro. By using the Services you agree to these Terms. If you use the Services for a firm or organization, you confirm you may bind it to these Terms.
If your firm has signed an order form or subscription agreement with Capiro, that agreement and these Terms apply together. If they conflict, the signed agreement controls.
2. The Services
Capiro provides software for lobbyists and government affairs teams to organize client information, prepare for meetings, track relationships, research public information, draft work products and manage follow-through. We may add, change or retire features, and some features may be offered as previews or beta features, which are provided as is.
3. Accounts and access
The platform is for business use by authorized users. You must give accurate account information, keep your credentials secure, and are responsible for activity under your account. Your firm decides who has access. Tell us promptly at legal@capiro.ai if you suspect unauthorized use.
4. Subscriptions, fees and cancellation
Fees, billing frequency, any minimums, and cancellation terms are set out in your order form or at sign-up. A subscription runs for the term in your order form. If your order form includes an initial cancellation window, cancelling within it ends your commitment for the rest of the term. Fees already paid, including the first month, are not refunded. Unless the order form says otherwise, fees are charged in advance, are non-refundable except as required by law or stated in the order form, and exclude taxes, which you are responsible for. We may change prices for a future billing period with advance notice.
5. Your content
You own the content you and your authorized users put into the Services (“Customer Content”). You give Capiro a limited license to host, process, transmit and display it as needed to provide, secure and support the Services for you, including by sending it to our service providers, and as your agreement with us allows.
You are responsible for your Customer Content and confirm you have the rights and permissions needed to use it, including any consent from your clients and contacts, and that your use of the Services complies with your confidentiality obligations to clients.
6. AI features and outputs
The Services use AI to generate drafts, summaries, research and suggestions (“Outputs”). Outputs may be inaccurate, incomplete or similar to Outputs produced for others. You are responsible for reviewing every Output before relying on it or sending it to anyone. Capiro is designed so that outreach and work products are reviewed and approved by you first, and you remain responsible for what you approve and send. As between you and Capiro, you own the Outputs generated from your Customer Content, subject to these Terms.
7. Professional and legal responsibility
Capiro is software. We are not a law firm, a lobbying firm, or a registered lobbyist, and we do not provide legal, ethics, regulatory or lobbying advice, or file registrations or disclosures for you. You are solely responsible for complying with all laws and rules that apply to your work, including federal and state lobbying disclosure, gift and ethics rules, and your duties to your clients.
8. Acceptable use
You agree not to:
- Use the Services unlawfully or to harm, deceive or harass anyone, or to misrepresent who you are or who is speaking.
- Upload content you do not have the right to use, or malware or anything that disrupts the Services.
- Attempt to gain unauthorized access, probe or test the security of the Services, or bypass limits or controls.
- Copy, resell, reverse engineer or build a competing product from the Services, except as the law allows.
- Use the Services or Outputs to train a competing AI model or to scrape the Services at scale.
9. Third-party services and public data
The Services may connect to third-party services you choose, such as email and calendar providers, and may display public government information. We do not control those services or sources and are not responsible for them. Your use of them is subject to their terms.
10. Our intellectual property
Capiro and its licensors own the Services, including the software, design, text, graphics and the Capiro and Meri names and logos. These Terms give you a limited, non-exclusive, non-transferable right to use the Services during your subscription or visit. If you give us feedback, you allow us to use it without restriction or payment.
11. The Cycle and website content
Articles, newsletters and other content on our site are for general information and education. They are not legal, lobbying, financial or other professional advice, and may not reflect the latest developments. Do not act on them without consulting an appropriate professional.
12. Suspension and termination
You may stop using the Services at any time, and cancellation is handled as your order form provides. We may suspend or end access if you breach these Terms, if required by law, or to protect the Services or others. After termination, your right to use the Services ends, and we will handle Customer Content as your agreement provides, including any period to export it. Sections that by their nature should survive will survive.
13. Disclaimers
The Services are provided “as is” and “as available.” To the fullest extent the law allows, Capiro disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement, and does not warrant that the Services or Outputs will be uninterrupted, error-free, accurate or secure.
14. Limitation of liability
To the fullest extent the law allows, Capiro and its affiliates, officers, employees and suppliers will not be liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, data or goodwill. Capiro’s total liability for any claim relating to the Services is limited to the amount you paid Capiro for the Services in the twelve months before the claim arose, or $100 if you have not paid anything. Some jurisdictions do not allow certain limits, so parts of this section may not apply to you.
15. Indemnification
You will defend and indemnify Capiro against third-party claims, and related losses and reasonable costs, arising from your Customer Content, your use of the Services in breach of these Terms or the law, or your use or distribution of Outputs, except to the extent caused by Capiro.
16. Governing law and disputes
These Terms are governed by the laws of the Commonwealth of Virginia, without regard to conflict-of-law rules. Any dispute will be brought in the state or federal courts located in Virginia, and you consent to their jurisdiction, unless your signed agreement with Capiro says otherwise.
17. Changes and general terms
We may update these Terms by posting a new version with a new effective date; for material changes we will give notice as the law requires. Continued use after the effective date means you accept the update. If a provision is unenforceable, the rest remains in effect. You may not assign these Terms without our consent; we may assign them in a merger or sale of our business. These Terms and any signed agreement are the entire agreement between us on this subject.
